Executive Assistant
Are you an experienced, proactive Executive Assistant with a passion for organization, problem-solving, and driving strategic initiatives? Join our fast-paced team as an Executive Assistant, where you'll serve as a key partner to the CEO and executive leadership team, ensuring seamless operations and effective communication across all organizational levels.
Key Responsibilities:
- CEO Support: Provide 80% executive-level support to the CEO, ensuring priorities are addressed with precision and efficiency.
- Team Coordination: Dedicate 20% to collaborating with other executives, ensuring proper scheduling and participation from appropriate VP-level stakeholders.
- Calendar Management: Oversee complex scheduling for the CEO and executive leadership team, aligning competing priorities and ensuring critical players are present at key meetings.
- Communication Facilitation: Act as a liaison among the CEO, stakeholders, executives, and staff, ensuring messaging is streamlined and accurate.
- Meeting Preparation: Prepare agendas, capture meeting minutes, and ensure executives have required materials in advance.
- Report & Presentation Development: Prepare detailed reports, presentations, and company-related documentation to support strategic decision-making.
- Strategic Projects: Lead special projects or initiatives, monitoring progress, providing updates, and aligning objectives to organizational goals.
- Policy Implementation: Assist in creating and implementing company policies, ensuring alignment with organizational visions.
- Research & Documentation: Conduct research, compile data, and create briefing documents to inform CEO decisions.
- Email & Scheduling Optimization: Manage executive-level email communications, schedule commitments, and proactively anticipate needs to prepare ahead of meetings or deliverables.

Qualifications:
- Experience: Minimum of 5+ years of executive assistant experience in a fast-paced environment.
- Proficiency: Intermediate to advanced skills in Microsoft Word, Excel, PowerPoint, and Outlook with expertise in calendar management.
- Communication Skills: Strong verbal and written communication abilities, with a talent for maintaining professionalism across all levels of interaction.
- Organizational Expertise: Exceptional planning, prioritization, and multitasking skills in complex environments.
- Problem-Solving: Ability to proactively identify challenges and pivot to solutions independently.
- Strategic Thinking: A forward-thinking mindset capable of anticipating leadership needs and aligning them with corporate goals.
- Interpersonal Skills: Ability to build and foster relationships with stakeholders, executives, and team members across all levels.
