Position Overview: The Bilingual Executive Assistant provides high-level administrative support to senior executives while ensuring seamless communication across multiple languages. This role requires exceptional organizational, multitasking, and interpersonal skills, as well as fluency in two or more languages to facilitate effective communication and collaboration within a global or multicultural environment.
Key Responsibilities:
Executive Support:
- Manage executive calendars, including scheduling meetings, appointments, travel arrangements, and itineraries (Source: RH Acronym Guide.docx).
- Prepare and edit correspondence, reports, presentations, and other documents in multiple languages.
- Anticipate executive needs and proactively address tasks, ensuring efficiency and confidentiality.
Communication Management:
- Act as a liaison between the executive and internal/external stakeholders in both languages.
- Translate written and verbal communications to support global business operations (Source: RH Acronym Guide.docx).
- Handle incoming calls, emails, and inquiries, ensuring professional and accurate responses.
Meeting and Event Coordination:
- Organize and coordinate meetings, including preparing agendas, reserving conference rooms, and facilitating virtual sessions.
- Record meeting minutes and provide accurate translations where necessary.
- Support and execute team events such as workshops, training sessions, and celebrations.
Administrative Duties:
- Maintain filing systems and databases, ensuring information is current and accessible.
- Monitor and order office supplies as needed (Source: Facilities responsibilities).
- Assist with expense reports, document approvals, and other administrative workflows.
Cross-Cultural Collaboration:
- Facilitate communication between diverse teams, ensuring cultural nuances and sensitivities are respected.
- Provide interpretation services during meetings, conferences, and presentations (Source: Executive Assistant roles).
Travel Support:
- Coordinate domestic and international travel, ensuring compliance with visa requirements, policies, and preferences.
- Translate travel documents, guides, and itineraries as needed.
Core Competencies/Skills:
- Language Proficiency: Fluency in English and one additional language (e.g., Spanish, French, Mandarin, etc.) with strong written and verbal skills (Source: RH Acronym Guide.docx).
- Organizational Skills: Exceptional ability to prioritize tasks, manage time efficiently, and meet deadlines.
- Technical Expertise: Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with remote work tools (e.g., Zoom, Teams).
- Discretion and Problem-Solving: High level of professionalism, confidentiality, and proactive thinking in a fast-paced environment.
- Interpersonal Skills: Adept at building positive relationships and engaging with diverse teams in a multicultural setting.
Qualifications:
- Education: Associate degree required; bachelor’s degree in business administration or a related field is preferred.
- Experience: Minimum of 3–5 years of executive assistant experience, particularly in a bilingual capacity (Source: RH Acronym Guide.docx).
- Certifications: Certification in translation/interpreting or office administration is a plus.
Work Environment and Physical Requirements:
- Ability to sit for extended periods and perform repetitive tasks.
