We are offering a short term contract employment opportunity for a Front Desk Coordinator in our Seattle, Washington office. The key focus of this position lies within administrative services, where you'll be the first point of contact for our clients and guests, and provide essential support to our team.
Responsibilities:
• Handle switchboard operations, distinguishing enough details to route the call to the appropriate party, or direct to voicemail when necessary.
• Greet and guide clients and other visitors, ensuring a warm welcome and directing them as needed.
• Manage and update all agency intake packets as requested by different programs.
• Provide support to other Administrative Staff with various tasks, including but not limited to, document copying and faxing, preparing presentation materials, distributing mail, maintaining office equipment, and managing office opening and closing procedures.
• Attend all agency, program, and team meetings, in-service trainings, and supervision as required.
• Sort and distribute inter-office mail and process agency postal mail efficiently.
• Perform other job-related tasks as assigned by management.

• No minimum years of experience required, making it suitable for entry-level applicants
• Must possess skills in Administrative Office tasks
• Must be able to manage reception area, including greeting visitors and responding to telephone and in-person requests for information
• Responsible for planning meetings and taking detailed minutes when necessary
• Should have the ability to multitask and prioritize tasks
• Excellent communication and interpersonal skills are necessary
• Should be competent in using office software including email, spreadsheets and databases
• Must be able to maintain a well-organized and orderly work environment
• Must have a detail oriented appearance and courteous manner
• Should have the ability to handle sensitive information confidentially
• Flexibility to work in shifts if required.
